Proposal Manager

AESI is looking for a Proposal Manager to work full-time at our Milton, ON office.

We are seeking an individual experienced in leading all facets of the proposal submission process for professional consulting services. This individual will collaborate with the Marketing Manager and Business Development staff throughout North America in the development of winning strategies for pursuing clients. The Proposal Manager will participate in content creation, oversee a proposal library and assist with archiving data that facilitates a cohesive Business Development effort throughout North America. This position requires someone with strong organizational, writing and communication skills. The Proposal Manager’s primary responsibility will be to facilitate the proposal process and the creation of compelling opportunity-specific response documents, while collaborating with Marketing to develop distinctive value propositions that clearly differentiate AESI.

Job Responsibilities and Duties

  • Provides oversight with proposal process, training, proposal library, data archiving, and status/KPI reporting
  • Review bid and tender websites for opportunities for all Practice Areas in Canada and the United States
  • Manage overall proposal administration on an opportunity by opportunity basis aligning with AESI’s business strategy
  • Facilitate Go-no-go process
  • Develop proposal schedule/roles/responsibilities matrix for ‘Go’ opportunities
  • Analyze RFP for proposal requirements
  • Initiate proposal kick off meetings
  • Development of proposal shell to RFP and company standards
  • Write non-technical sections and edit/proofread technical inputs and/or other inputs
  • Supports the coordination of associates on an opportunity by opportunity basis (permissions, updated CVs, etc.)
  • Coordination/management of proposal inputs from various disciplines, sub-consultants and/or subcontractors (written and estimates)
  • Coordination of T&Cs for approvals or required adjustments
  • Identification and creation of appendices
  • Ensure compliance of proposal submission to RFP requirements (instructions, evaluation criteria, SOW, etc.)
  • Facilitate and participate in proposal reviews (Senior Management and QA reviews)
  • Final responsibility for preparation, quality and delivery of proposals
  • Development and maintenance of boilerplate and standard proposal templates
  • Coordinate and support CV development and annual updates for staff and associates
  • Create custom CVs for proposals as required

Qualifications

  • Post-secondary education (preferably in entrepreneurship/marketing/communications or related technical discipline)
  • 5 years of marketing/proposal experience (preferably in a technical industry)
  • Advanced skills in writing, editing and proofreading
  • Strong organizational and time management skills, and ability to multitask
  • Deadline and detail oriented
  • Excellent communication and interpersonal skills (team player)
  • Advanced skills in writing, editing and proofreading
  • Ability to deliver work under impending deadlines with changing priorities

Working Environment

  • Work is normally performed in a typical interior/office work environment with no or very limited physical effort required.
  • Capable and willing to travel anywhere in the North America by commercial airline or other designated mode of transportation, on relatively short notice
  • Capability and willingness to accept periodic extended periods of absence (e.g., up to two weeks) from home, for short-term assignments
